The Job

Ensures proper flow of office procedures, and supports the Office Manager by carrying out common office duties. Maintains a positive, professional, and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone. This role plays a critical part in supporting the daily operations of a busy office environment and has great potential for growth in a rapidly growing company!

 

The Front Office Administrator reports directly to the Office Manager.

Responsibilities, Skills & Qualifications

Main duties & responsibilities:

  • Arranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
  • Manages correspondence by answering emails and sorting mail
  • Assists in planning and arranging office events, including catering as needed
  • Assists Sr. Recruiter with candidate scheduling and travel arrangements
  • Manages reception area and looks after visitors and new employees joining the organization
  • Answers phone calls and transfers them as necessary
  • Maintains stock lists and orders office supplies as needed
  • Communicates with relevant agencies to produce travel itineraries for senior members of the company and visitors
  • Assists internal employees of all levels with administrative requests as needed
  • Provides administrative support to the HR team as needed

Required skills and experience:

  • 3+ years’ experience working in a corporate office setting
  • Excellent written and verbal communication skills
  • Ability to multi-task and prioritize projects
  • Excellent organizational skills
  • Positive attitude with a drive to professional grow
  • Customer-service oriented
  • Able to complete complex administrative tasks with minimal supervision
  • Proficiency with Microsoft Office programs
  • Professional demeaner
